Automated Actions for Opportunities

Automated actions are a great way to set reminders for your team to ensure best practices are used along your sales process. When you associate them with opportunities, they can help you take important actions throughout the pipeline. If you have multiple pipelines, you should be aware that some triggers apply to every pipeline while others do not. 

Automated action triggers for all pipelines

The following triggers do not differentiate between pipelines.  In other words, when these triggers are used in an automated action, the automated action will create a task in every pipeline you have set up:
  • Is created
  • Status is changed to
  • Is assigned to
  • Status is Open and Days in Stage is more than
  • Status is Open and Inactive Days is more than
  • Status is Open and Close Date is within
Let's look at an example of setting one up. 
You might want to know when your opportunities become inactive. To track this, you could create the following automated action:
Name of Automated Action:  Inactive Opportunity
Entity:  Opportunity
Trigger:  Status is Open and Days in Stage is more than 7 days
Task Name:  Follow-up with Inactive Opportunity
Due Date:  1 day later at 8am
Reminder:  2 days later at 8am
Owner:  Opportunity Owner
Tag:  Inactive Opportunity

Automated actions for specific pipelines or stages

If you'd prefer to specify a pipeline or stage when creating an automated action around an opportunity, rest assured you have this option. There's just one caveat: The opportunity must be created in the pipeline the automated action is referencing. In other words, if you create an opportunity in your Sales pipeline and you have an automated action that triggers when the pipeline is changed to sales, it will not fire.
Let's look at an example. Let's say you want to know when an opportunity is moved to the 'Demo Canceled' stage. You can create this using the template below:
Name:  Demo Canceled
Entity:  Opportunity
Trigger:  Stage is change to Demo Cancelled
Task Name:  Reschedule Demo
Due Date:  1 day later at 8am
Reminder:  2 days later at 8am
Owner:  Opportunity Owner
Tag:  Demo Canceled
